ATS Resume Optimization: How to Get Past the Screening Software

What applicant tracking systems actually check, the formatting rules that break parsers, and a checklist to score above 85 before you apply.

What is an ATS?

An applicant tracking system is the software an employer uses to receive, parse, rank and manage applications. Popular systems include Workday, Greenhouse, Lever, Taleo, SuccessFactors and Ashby. When you submit a CV, the system extracts text, maps it to fields, and scores it against the job requisition.

An ATS does not reject you on its own. It ranks you, and recruiters usually review from the top of that ranking downwards. A poorly parsed CV effectively never gets read.

The five things an ATS checks

  1. Parseability — can the software read your file at all?
  2. Keyword coverage — do the required skills and tools appear in context?
  3. Experience alignment — do titles, dates and seniority match the requisition?
  4. Formatting integrity — are sections identifiable?
  5. Recency — are the relevant skills used in recent roles?

Formatting rules that matter

  • Use a single-column layout. Two-column CVs frequently parse out of order.
  • Avoid tables, text boxes and headers/footers for critical information.
  • Use standard section names: Experience, Education, Skills, Certifications.
  • Submit DOCX or a text-based PDF, never a scanned image or a design export.
  • Use standard fonts and avoid icons in place of words.
  • Write dates as "Mar 2023 – Present" consistently.

Keyword strategy without stuffing

Take the job description and list every hard skill, tool and certification mentioned twice or more. Those are your must-have terms. Include each one naturally in a bullet that shows how you used it, with an outcome attached. Use both spellings for common variants — "PostgreSQL" and "Postgres", "search engine optimisation (SEO)".

Repetition beyond two natural uses adds nothing to modern ATS ranking and damages credibility with the recruiter who reads it next.

The pre-apply checklist

  • ATS score above 85 against this specific job description
  • Job title on your CV close to the target title
  • Top third of page one contains your strongest matching evidence
  • Every bullet has a metric, a scope or a result
  • File named Firstname-Lastname-Role.pdf
  • No photo for US, UK or global-remote applications
  • Contact block includes country, time zone and LinkedIn

Example rewrite

Before: "Assisted the finance team with reports and reconciliations."

After: "Automated 3 monthly reconciliations in Excel and Power BI, cutting close time 44% (9 → 5 days) for a 120-person business."

The second version gives the ATS keywords and the recruiter evidence.
